LMS –ACT is an MSH-implemented project in Nigeria that aims at supporting state Ministries of Health and State Action Committees on AIDS (SACA) to deliver comprehensive HIV/AIDS/TB services-including providing antiretroviral therapy for the hundreds of thousands of people in need in Nigeria, the project will scale up the US president’s Emergency plans for AIDS Relief (PAPFAR) programming to achieve its goals for provision of ART, palliative care services for HIV, TB co-infected individuals, and prevision of HIV transmission form Mother-to- Child (PMTCT).

POSITION; OFFICE ASSISTANT

LOCATION; ABUJA

The office Assistant provides general administrative service to the Leadership. Management and Sustainability (LMS) program’s Nigeria office under the direction of the office operations Manager. She/he will provide administrative, logistical, and clerical support to field staff and local and international consultants. This will include the following answering phones; faxing; filing; coping/binding/laminating documents, arranging courier service typing correspondence; arrange and setting up for meetings and conference calls; drafting meeting minutes, and fielding inquires, in order to meet the demands of project implementation, She/he will have primary responsibility for responding to ad-hect requests for assistance.

SPECIFIC RESPONSIBILITIES:

Reception Duties

1. Receive and direct all incoming phones calls, electronic and paper mail, and office guests in a manner that benefits the project.

Administrative Duties

1. Maintain general office systems including filling coordinating timely timesheet, submission; sending, receiving and distributing faxes; and photocopying

2. Arrange logistics for conference and meetings and help set up any events

3. Coordinate and prepare mailing including production, photocopying, assembling, posting and courier/shipping

4. Prepare documents including word-processing editing, spread sheets and data entry

5. Assist in the distribution of checks to vendors. This involves calling vendors to advise that check are ready for up.

6. Assist field staff with personal request related to banking, medical appointments, and other such activities that are difficult to conduct from the field

7. Support any special projects, reports and other duties as required

Qualifications

1. Administration diploma or relevant office experience

2. Fluency in spoken and written English required

3. Strong administrative, organizational, and written and verbal communications skills

4. Organized and able to work well under pressure.

5. Strong PC skills to include knowledge of Microsoft word, Excel, Power point, outlook, internet research and data base use

6. Familiarity with Microsoft outlook desirable

7. 2+years of relevant administrative experience in supporting work groups

8. Ability to interact with professionals at all levels located in different parts of the world

9. Knowledge of USAID and other similar organizations a plus.
