The African Development Bank office in Abuja (NGFO) has been established to strengthen dialogue between the Bank and Government, development partners, the private sector and the civil monitoring and evaluation of the poverty reduction strategy. The office also seeks to assist the operational functions of the Bank Group in launching and follow up of projects and programs in Nigeria. The major functions of the office fall under the major areas of; country programming, project administration, promoting participation, regional integration, and old co-ordination, in line with the partnership principles and with a view to increasing development effectiveness and impact. NGOFO invites applications from suitably qualified candidates to fill the vacant position. This position is local and posting will be in the Nigeria field Office (Abuja) of the African Development Bank.
EXECUTIVE ASSISTANT (General Service Category)
Under the direct supervision of the Resident Representative, the Executive Assistant provides complete secretarial and administrative support to the office of the Resident Representative
Major duties and responsibilities
- Arranges appointments and maintain the RR’s calendar;
- Receives visitors, place and screen telephone calls and answer queries with discretion;
- Arranges meetings, both internal and external, some of which involve high ranking officials;
- Take minutes and notes at meetings;
- Type correspondence and reports for the RR, some of which are highly confidential;
- Screen, log and route correspondences;
- Attach necessary background information and follow-up system;
- Draft non-substantive correspondence and ensure follow up;
- Maintain policy, confidential and general files;
- Clear correspondence for conformity with established procedures and accuracy of statements before being signed by the RR;
- Select and make pertinent searches for abstracts and undertake searches for information:
- Keep list of names, addresses and telephone numbers of Ministers. Government officials and members of the Diplomatic Corps;
- Make travel arrangements for the RR;
- Perform liaison duties with the Head Office and provide guidance to other secretaries;
- Assists the Protocol Assistant in the management of the contractors/ suppliers/ consultants’ databank
- Performs other duties as requested.
Essential Skills and Capabilities
- Candidate must possess at least a Social Science Degree
- Should have a minimum of 2 years post-qualification relevant experience in an international organization, or in a comparable institution
- Good knowledge of office management; competence in the use of Bank standard software applications Word, Excel, Access, Ms Projects, Power Point, etc
- Ability to communicate and write effectively in English. A good working knowledge of French will be a major added advantage.
Terms of Employment
This position has a three year fixed term contract with possibilities of renewal based on performance.
