Description
Jacobs Technology is the advanced technology arm of Jacobs Engineering (NYSE:JEC), one of the largest engineering and technical service companies in the United States. The Engineering and Science Contract Group (ESCG) segment of Jacobs Technology partners with five teammate companies to provide engineering, scientific and technical contract services at NASA’s Johnson Space Center (Houston, TX). As NASA’s Constellation program matures, our position places us in roles vital to the development of virtually every component of U.S. space exploration and human flight.
Our long-term client relationship with NASA has lead to a need for an Administrative Assistant.
The Administrative Assistant will provide administrative and project support to the Director of Operations and the Director of Strategic Relations out of the Office of the General Manager (OGM). Work will include support of special projects and general administrative duties including: budget tracking and processing of payables with MS Excel and other financial software; extensive travel coordination and processing of related expenses and other department functions; development of PowerPoint briefings and event flyers; phone coverage, meeting coordination, file management and office organization. Additionally, the assistant will provide back-up support to lead OGM Office Assistants as required, as well as support for company/ESCG event planning and implementation for company, customer, community and employee programs and initiatives.

Required Education/Experience/Skills:
• A high school diploma (or its equivalent) and a minimum of 8-10 years of senior management-level administration experience in related field or related area.
• Advanced level knowledge of all MS Office programs, particularly Excel, PowerPoint, MSWord and Outlook – candidate should be able to demonstrate skills in-depth and/or provide samples of work.
• Experience in protocol (tour planning, special events) and working with elected officials, customer, community and industry leaders is required.
• Strong verbal and written communication skills required and knowledge of document editing is a plus.
• Schedule flexibility, including weekends (on occasion), as well as the ability to travel to support events is required.
• Should be a self-starter, requiring minimal oversight for accomplishing job responsibilities, as well as department goals and tasks.
• Exceptional organization skills, professionalism, and attention to detail are critical to succeed in this job.
Preferences:
• 8 years directly related experience in providing staff support to senior management, in addition to providing support for the planning and implementation of special projects and events.
• Knowledge of other software and systems for project tracking (MS Project), design (InDesign, Photoshop, and PageMaker), web development (DreamWeaver), etc. is a plus.
